What happens if I cancel a booking with a dental professional?
If you need to cancel an assignment, you can do so through the Bookings tab. The cancellation fee depends on the timing and circumstances. Please note that if the booking start time has already passed, the option to cancel will no longer be available. You can contact our Member Services team directly if this is the case.
No Penalties
If you cancel an assignment that was booked, confirmed, and canceled more than 24 hours before the booking or within 4 hours of the professional accepting the booking, there is no penalty.
Less Than 24 Hours' Notice
For cancellations made less than 24 hours before the assignment, a fee may be charged to the office. This fee is passed on to the professional as compensation to respect the time of our professionals.
Late cancellation fees are the following:
$100/specialist
$75/hygienist
$40/dental assistant or front office staff
Late cancellation fees will be paid to the professional, PLUS a $5 Cloud Dentistry processing fee.
Professional En Route or Turned Away Upon Arrival
If the office cancels within 60 minutes of the start of the booking or if the professional is turned away upon arrival at the office, the professional is entitled to payment for half of the booked working hours (up to a maximum of 4 hours).
Canceled After Booking Has Begun
If the schedule falls apart, or you no longer have a need for the temp professional, yet they have already begun working, they may be eligible for guarantee payment. Guarantee payment is payment for the working hours the professional was booked, minus one hour. For example, if a professional was booked for 8 working hours, they are due payment for 7 hours, times their hourly rate.
Force Majeure Cancellations
For bookings that are impacted due to force majeure, the office and professional will need to cancel the booking(s) and contact Member Services immediately via email service@clouddentistry.com or via the chat icon.
Both parties should cite the cause for cancellation to prevent penalties if they do not apply.
Late cancellation fees are waived due to extreme weather events, and late cancellations/no-shows are excused for the professional in these events. Inclement weather can include snow, ice, hurricanes, tornadoes, floods, power outages from this type of weather, and other serious situations.
Other Serious Conditions do NOT include computer systems going down and office equipment failure.
While emergencies do arise, we impose financial penalties to office accounts as a way to respect the professionals since they’re counting on the income from the booking. If you have a valid reason for cancelling and can provide documentation, contact member services at service@clouddentistry.com.
