How can we successfully hire for our open role?

Steps to take to fill open positions - for both temporary and permanent hires.

Professionals

The “Professionals” tab allows you to view a list of dental professionals in your area along with their background information and typical availability. Read Search Features for Offices to learn more about applying filters on this page and what determines the order in which professionals are listed.

From this page, you'll be able to click the professional's name to view their full availability schedule and written reviews that have been submitted by other practices! You can always message the professional prior to booking or inviting them to apply for a position at your office.

  • If you'd like to request a professional for a temporary assignment, you can start this process from the "Find A Temp" button or from a professional's full schedule when opening their profile. This will prompt you to fill out the details of the shift and to invite additional professionals in the event that the original professional is not available. This is a first-come, first-served process. If you only want to request the one person, only send the 1 request.

Find A Temp

To fill a temp position:

  1. Click "Find A Temp", which is located on your dashboard, Temp Jobs tab, or on the "Professionals" tab.

  2. Fill out the details of the shift: Type of Professional Needed, Start Time, End Time, Break, Notes, and agree to the match terms (booking agreement).

  3. Add any Advanced filters to narrow down your search results to find the perfect fit for your office (i.e. certifications, max hourly rate, etc..).

  4. Select your top (up to 6) candidates

  5. Send Requests!

The option to create an automatic temporary job posting if the professionals you are requesting do not reply within 4 hours is automatically selected. You can unselect this if you choose, but we highly recommend you keep this selected to ensure your shift is filled!

This option allows other professionals who are available to apply to the open temp job. Your office will be able to view the other applicants and accept or decline.

Offices on our platform also utilize the booking feature to find permanent hires in addition to job posts. You may find the perfect match with temps while searching for a permanent hire.

Job Postings

Depending on your office’s needs, you can create job postings for both permanent and temporary positions. Creating a post for either position is highly recommended. Job postings alert professionals in your area, who then apply directly to the job. Once they apply, you are able to review their application, profile, reviews, and then accept or decline (for temp jobs), or continue communication (for permanent jobs).

Permanent Job Postings

Post your Permanent Job (See How do I create a job post?). When you receive an application to a permanent job posting, you can view the applicants within the job posting itself, and the application will come to your office as a message! This way, you can continue the conversation with the applicant, ask questions, request a resume, and schedule an interview!

Temp Job Postings

Using the "Find A Temp" process will auto-post a temp job for the office if there is no reply from invited candidates within 4 hours. If you want to book an applicant for a temporary position, you can easily click “accept” on their application. This will confirm the booking on your bookings calendar and notify the professional of the confirmation.

Note* You do have the option to only post a temp job without inviting candidates, but for the best results, we recommend inviting candidates and having the system auto-post the temp job publicly if there is no acceptance from the candidates.

Tip: Make sure your "Notification Settings" are turned ON so you don’t miss any applicants! You can check your settings in the dropdown menu on the right-hand side of your screen.

Messaging

Messaging candidates gives you the option to:

  • Ask questions

  • Request a resume

  • Discuss available times for an interview

  • Propose a different rate

  • Invite to apply to Permanent Job Postings

    • Click the dropdown menu to link one of your active job postings and share!

For a smoother process, we also recommend booking professionals directly from their calendars for working interviews. This ensures accountability and the ability to report no-shows.

TIPS

We advise professionals and offices to maintain all bookings through the bookings calendar (not just messages or verbal confirmation) for their security, to avoid miscommunication, maintain accountability, and ensure booking agreements are in place. It is also best practice to maintain communication through the platform for security.

Professionals' phone numbers are only visible to offices after a booking has been confirmed. You can view this by clicking on the professional's name; the phone number is then visible on their profile. If you are trying to locate the contact information for a professional who applied to your permanent job posting, you may find contact information in the resumes you receive from them.

If a professional submits a resume for permanent job postings, it will be visible in the Permanent Jobs tab and in the message thread with the professional.

If you’re inviting a higher-rate professional and want to propose a different number, message them first to align on rate — they’ll need to update their profile or send you a Propose a Booking back at the new rate. If a request sits without responses, consider raising the offered rate before re-sending; rate is one of the strongest signals professionals use when deciding whether to accept
