Auto-Renewal Policy for Offices
To keep your bookings secure, your office needs an active subscription. If you have bookings scheduled past your current plan's end date — or you're still using subscription features like messaging or job posting — your plan will automatically renew, so nothing gets interrupted.
How auto-renewal works
At the end of your term, your plan rolls into a month-to-month subscription at the same rate you've been paying. This locks in your current pricing and protects you from any future increases. To disable the auto-renewal, you'll need to connect with our team to prevent future billing.
What triggers auto-renewal
Two things will reactivate your subscription, even if auto-renewal is turned off:
Bookings past your subscription end date. If a professional is booked for any date after your access ends, the system renews your plan so the booking can be honored.
Use of subscription features. Messaging, posting jobs, or paying professionals through Cloud Direct Pay all require an active plan, and using them will trigger renewal.
Example: Your plan is disabled on May 6, so your last day of access is June 5. If you have a professional booked for any day after June 5, auto-renewal kicks back in automatically.
Canceling vs. disabling auto-renewal
These aren't the same thing, and the difference matters:
Disabling auto-renewal keeps your plan active through the end of the term at your current price, then stops it from rolling over. No early termination fees, and you keep full access until the term ends.
Canceling immediately ends access right away and may trigger early termination fees. You'll also lose messaging, job posting, and bookings.
In most cases, disabling auto-renewal is the cleaner path.
Example: You buy a 6-month plan running January through June. If you disable auto-renewal in April, you'll be billed for May and June as scheduled, and access ends after June.
How to avoid an unintended renewal
Disabling auto-renewal alone won't stop renewal if bookings exist past your end date. To fully wind down:
Keep bookings inside your active subscription period. Schedule all bookings to occur before your access end date.
Cancel or reschedule bookings that fall outside it. Any booking past your end date will trigger renewal unless it's moved or canceled.
Reach out to the Cloud Dentistry Member Services team to disable auto-renewal.
You can see the status of your subscription and any upcoming subscription invoices in the "Billing Info" section of your account.
FAQs
What happens if I book a professional after my subscription ends? The booking automatically renews your subscription on a month-to-month basis, so it can be fulfilled.
How is the renewed subscription billed? Month-to-month, at your current monthly rate — no price hikes at renewal.
Can I avoid auto-renewal if I no longer need the service? Yes. Either keep all bookings within your active subscription period, cancel/reschedule any bookings that fall after your end date, and contact Member Services to turn off the auto-renewal.
Does my plan auto-renew if I choose a 1-month plan? Yes. We are a subscription service, so all plans will renew each month until canceled. The 1-month plan allows you to cancel at any time without potential early termination fees.
